Introduction to EY Foundation

The EY Foundation is a charity and a company, limited by guarantee, established in 2014. We were founded by EY, the professional services firm, which continues to provide funding and donations to the charity under a multi-annual funding agreement. We are governed by a board of trustees, who are supported by a number of committees and leadership and management teams.


The EY Foundation helps young people, disadvantaged in the labour market, to fulfil their work potential. We are unique in our position as the link between employers and young people, having strong relationships with both.


Our work involves designing, developing and running our own services: Smart Futures, Your Future, Beyond Your Limits and Accelerate, as well as raising independent funds to support new initiatives and reach more young people across the UK. We work with organisations from across all sectors, including commercial, not-for-profit, education and government.


As an independent charity we have to diversify and raise our own income through traditional fundraising, grants and, increasingly, through the development of our work with corporate partners.

At the EY Foundation, we have a hybrid working model in which our staff work from the office (one of our Hubs in London, Birmingham, Manchester or Glasgow) at least one day per week.

Your role as Administrator

Whatever your specific responsibilities and specialisms, as an Administrator you will be customer and delivery-focused, structured and organised in your approach, highly engaged and interactive with colleagues and beneficiaries of our work. You will take personal ownership of your work and will be proactive in your own development. You will be collaborative with colleagues and supportive of each other in achieving our collective targets and objectives.


Your role as Administrator

As Administrator you will work for the EY Foundation in the Programmes Team and very close to the Recruitment and Onboarding Team at EY. In this role you will be responsible for the efficient and effective processing of HR post offer and onboarding administration for EY Foundation's paid work experience programmes such as Smart Futures, Your Future and Beyond Your Limits.


The role will include several key responsibilities but are not limited to:

  • Operational support – assisting in all administrative work in programme delivery, including the distribution and collection of laptops to programme participants, helping with onboarding processes for young people, liaising with relevant EY and team colleagues.
  • Work closely with the Recruitment & Onboarding team who delivers excellent service in line with the firm’s recruitment requirements and ensures service level agreements are met in line with HRSSC standards.
  • Be responsible for processing all administration relating to the offer of employment, including offer letters, joining instructions, referencing, welcome induction and updating HR and other systems. This includes the on-boarding of international hires.
  • Process payroll changes and reduce risk around payroll processes by reviewing and checking transactions identified on interface reports from the Payroll provider in a timely way, engaging the Payroll & Benefits team appropriately.
  • Be the first point of contact to anticipate and respond to queries from future joiners, including referrals from our HR Advisory Team, conducting further analysis and investigation when required.
  • Produce regular progress reports for the Student Recruitment Team and endeavour to identify and contribute to process improvement and technology optimisation to benefit key stakeholders and the business.
  • Provide flexible support across both the pre-offer and post-offer processes.
  • Commit to driving your own personal development by ensuring your knowledge and skills are up to date and keep well informed of HR policy and industry news. You ensure compliance with the Data Protection Act always.


Your experience and knowledge

We are interested in people with proven recruitment administration experience and working knowledge of the professional services industry. As a successful candidate you will have the ability to manage high volumes and juggle conflicting priorities.


To qualify for the role you must have

  • A strong proven customer service experience and a professional telephone manner.
  • A high degree of accuracy and attention to detail in dealing with routine tasks.
  • The ability to communicate confidently and operate appropriately within the organisation, particularly with key stakeholders.
  • Initiative when problem solving, being self-sufficient and proactive when researching service line and industry knowledge.
  • The ability to influence challenging stakeholders, manage resistance and escalate as appropriate.
  • IT literacy with Microsoft packages.
  • Working in a delivery-focused organisation.
  • A proactive individual who is a strong team player with the ability to communicate confidently and use their initiative with a problem-solver attitude.
  • Proven experience in managing high volumes activities in a fast-paced environment.
  • Being adaptable and able to understand risks to the firm.
  • Strong and evidenced commitment to diversity.
  • Strong commitment to improve the working lives and prospects of disadvantaged young people in the UK.


Ideally, you’ll also have:

  • Administration experience within a service delivery team environment.


Your competence

You will be able to demonstrate the competences expected of an EY Foundation co-ordinator. Where you need more time to fully develop those competences we will support you in so doing.
